Privacy Policy

Last updated 14 October 2026

Kaam (kaamtime.com) is a team app for businesses: owners and managers give work to their staff, track attendance and leave, and run payroll, mostly over WhatsApp. Our WhatsApp business number is Kats Task Manager (+91 70820 78041). This policy explains what data Kaam handles, why, and the choices people have.

Who is responsible for the data

Each business that uses Kaam (the employer) decides whose data is added and what it is used for, and is responsible for telling its staff and getting their consent where the law requires it. Kaam processes that data on the business's behalf to provide the service. For data about our own customers (business owners), Kaam is responsible.

What we collect

  • Account details: name, mobile number, email (optional), role and the business the person belongs to.
  • Work data entered by the business: tasks, comments, proof photos, attendance, shifts, leave, advances, expenses, sales targets, salary and payslips.
  • WhatsApp messages people send to our business number, and the messages Kaam sends (task alerts, reminders, sign-in codes, summaries).
  • Check-in proof, only when the business turns it on: device location at check-in, a selfie, and for Face ID a face template (a set of numbers computed on the device, used to recognise the same person) plus a small reference photo.
  • Staff details the business chooses to store, such as bank account, PAN, UAN or identity documents. Sensitive numbers and documents are encrypted.
  • Technical data: sign-in sessions, app notification tokens and basic server logs needed to run and secure the service.

How we use it

  • To provide Kaam: show the right screens to each role, send WhatsApp alerts and reminders, record attendance and work out salaries.
  • To keep accounts secure: sign-in codes, abuse prevention and audit history of important changes.
  • To support the business that uses Kaam, when they ask us for help.

We do not sell personal data and we do not use it for advertising.

Who we share it with

Only with service providers that help run Kaam, and only what each one needs:

  • Meta (WhatsApp Business Platform), to send and receive WhatsApp messages.
  • Our hosting provider, where the servers and database run.
  • When the business turns these features on: Anthropic (Kaam AI answers), Sarvam AI / OpenAI(turning voice notes into text), Google Firebase (app notifications), and Razorpay / Cashfree(salary payouts).
  • Authorities, if the law requires it.

How we protect it

  • All connections use HTTPS. Sensitive fields (bank, identity numbers, documents) are encrypted in the database.
  • Every screen and action is limited by role: an employee sees only their own data, a manager only their team.
  • Daily backups, and access to the servers is restricted to authorised people.

How long we keep it

For as long as the business uses Kaam. When a business stops, or asks us to, we delete its data, except what we must keep by law (for example payroll records). Sign-in codes are kept for at most two days.

Your choices and rights

Under India's Digital Personal Data Protection Act, 2023, people can ask to access, correct or delete their data, and can withdraw consent (for example for Face ID or location check-in). Staff should first ask their employer, who controls their records in Kaam. You can also write to us on WhatsApp at +91 70820 78041 and we will help.

To stop WhatsApp messages from Kaam, ask your employer to turn off WhatsApp alerts for you, or message us and we will do it.

Children

Kaam is meant for businesses and their working staff. It is not meant for anyone under 18.

Changes

If we change this policy, we will update this page and the date at the top.
